Organising an event & or attendance at an event for a team involves some considerable logistics & project management know how. However, when that event moves online, as have many events due to the Covid19 pandemic; it involves a different approach.
Helena Parrott – VA/Director Virtually Smart Ltd & Katy-Jane Mason – Content writer & Social Media Coordinator, have been supporting Dolphin N2 over the past few years with a wide range of Business Management needs. Helena’s role has an extensive & integral part to play in supporting & managing the needs of the Senior Leadership Team of Dolphin N2, which includes (this list is non exhaustive)
Full EA support to the Dolphin N2 CEO & entire Senior Leadership team including: attending daily SLT Zoom meetings & acting upon any expectations & or needs presented by the SLT team, coordinating with & updating the UK team & international partners, leading meetings, preparing presentations, group diary management, inbox management & any & all support the team need to allow them to continue with their extensive projects & developments.
Being the point of contact for all new starters.
Collating & implementing documentation pertaining to international patents & legalities surrounding patents for the Dolphin N2 CryoPower engine.
Liaising directly with Government agencies with regards to Grants & Funding.
Being instrumental in the support of the entire team as they spun out from Ricardo Plc in December 2019, including setting up new offices, implementing an entirely new IT systems & support for the team, ensuring all contracts were current & up to date.
Ensuring all documentation & legal necessities pertaining to Dolphin N2 becoming an independent entity being in place including all policies & procedures.
One of the many roles Helena oversees, is the Events Calendar for the Dolphin N2 team.
Pre-Covid19 Helena was used to creating extensive travel arrangements for the team both nationally & internationally, arranging attendance at Conferences & meetings both onsite & abroad. However, since the pandemic has required a shift in how these arrangements are organised, it also involves a different approach.
With the development of the Dolphin N2 CryoPower engine meeting a critical stage, the team were set to attend the Cenex LCV show at Millbrook, Bedford, UK this year & present their findings. However, with the event having already been postponed twice due toCovid19, Cenex made the decision to move the event online.
With very little time to prepare the relevant information for the now Cenex LCV2020 Virtual Exhibition Stand, Helena & Katy-Jane set to work to gather all of the relevant elements needed for the Virtual ‘Online’ Stand.
Katy-Jane was tasked with designing the relevant imagery required for the Virtual Stand, ensuring all of the banners & headers met the LCV2020 Virtual Stand sizing requirements. After producing several different proofs for the Dolphin N2 team, it was down to the Dolphin N2 SLT to choose which image best represented their company.
In the meantime, Helena set to task to collate Dolphin N2 Published papers, Power Point Presentations & appropriate documents to be shared with attendees at the event.
With a deadline rapidly approaching due to reduced timescales for the online event, Helena & Katy-Jane pulled together the LCV2020 Virtual Stand package right on schedule.
However, due to the reduced timescales for the approval & proof stage of the Virtual Stand allocation being a very sharp 24 hour turnaround; Helena & Katy-Jane joined forces & ensured that all of the information need to ensure the Dolphin N2 Virtual Stand for Cenex LCV 2020 was in on time & truly represented the company in their very best light.
Helena & Katy-Jane having worked alongside each other for many years now, have a great team & work ethic & pull projects together smartly & efficiently with their differing & complimentary skills.
